Minutes Summary of KHIST Board Meeting on 4th September 2017

 

Meeting held at KHSSC and attended by 5 board members

  • The minutes of the meeting on 6th July 2017 were approved as being a true record.
  • It was decided to dispense with a formal agenda in the interests of using available time to consider more pressing subjects.
  • Despite continuing summer inactivity and a typical pre-season, bank balances have remained satisfactory. Improved lottery receipts since the start of the football season and recent membership renewals/donations have had a positive effect.
  • A substantial, anonymous donation has been received from a supporter of the Trust. The board wishes to express its sincere thanks to this generous donor.
  • KHIST 2020 Lottery receipts are intended for the ultimate benefit of KHFC. Members should be aware that KHIST is an independent organisation and, as such, use of funds for investment, donations and/or savings for the future are entirely at the discretion of the Trust’s board.
  • Annual accounts are being prepared for the Financial Year ending 31st March 2017. The Treasurer will be contacting the Auditor in the next few days, for a progress report.
  • Preparations for the AGM are well in hand. Reminders are to be sent out to members by email, on the pre-arranged date, and a notice will be posted on the website.
  • The KHIST board is made up of a few committed Harriers’ supporters, who work as a team to promote supporters’ interests in our football club. We are seeking similarly committed supporters to join the board and, also to offer assistance from time to time. So far, we’ve not been successful in identifying suitable candidates but further efforts will be made to find potential recruits.
  • Members have been invited to propose ‘resolutions’ for inclusion in the AGM agenda. There have, so far, been no responses.
  • Membership renewals for 2017/18 are progressing well and, despite current restrictions on our activities, there’s been a very satisfactory influx of new members. Actual numbers are not available but, previous experience suggests there’ll be a substantial increase in the membership since last year as re-registrations and new signings will continue for several weeks.
  • The lottery has continued to make reasonable returns throughout the summer. There’s been a positive response to the replacement of some sponsored prizes with cash. Supporters have recognised that ours is a community venture for local residents and that most of the lucky winners are from Wyre Forest.
  • There are still a number of uncollected lottery prizes from previous months. These are to be identified on the website and winners will be advised how to collect their prizes.
  • Consideration is to be given to the potential for lottery draws to be ‘live’ on Twitter (and/or other social media outlets).
  • The next lottery draw is to be held in the Kidderminster Harriers Social & Supporters club at 8.00pm on Sunday 10th September.
  • Colin Gordon had been unable to accept an invitation to attend our board meeting. Summer holidays and other commitments had previously precluded an arrangement and both parties recognise the need for some clarity, particularly with regard to our current, distant relationship. An alternative date has been identified and hopefully, that will be agreed.
  • Following the recent, highly successful, Tribute Evening, there are no planned KHIST events for the immediate future. The board is presently shorthanded and will need assistance from members. Anyone with organisational skills will be invited to ‘join the ranks’. Early attention is to be given to the planning of further KHIST social events.
  • Members will be aware of the communication difficulties experienced in recent weeks and can be assured that the board are giving urgent consideration to organising facilities for KHIST members to have easy access to board members and to purchase lottery tickets. We ask our members to remain patient whilst we determine what can be done to improve the present situation.
  • An intended change of board responsibilities leaves us with a pressing need to consider applications to join our board, as a volunteer, to fill the impending Treasurer vacancy. Our first advertisement did not attract suitable candidates, but a further notice will be publicised shortly.
  • We have had communications from members, and one, particularly thought provoking email from a current non-member, expressing concerns and questions regarding the proposed new stadium. The suggestion is that KHIST should have an intermediary role on behalf of the supporters. At this early stage, however, we are not in a position to make a positive contribution to discussions. If we should be made aware of information that we can share with our members (i.e. not given to us in confidence), we will keep members informed as best we can.
  • Congratulations are due to Harriers Trust F.C. (for whom our board member, Dave Williams is Chairman), who have recently been awarded F.A. Chartered Standard and are presently riding high in the Kidderminster Sunday Premier League.
  • Funds donated to KHIST in collection boxes sited in local public houses are gratefully received..
  • The next board meeting will be held in the Kidderminster Harriers Social & Supporters Club at 8.00pm on Monday, 2nd October 2017, when preparations for the AGM will be high on the agenda.
